Minutes of 11 June 2020 SC Meeting

The Strata Committee Meeting to Prepare for the next AGM was our first opportunity in months to have an SC meeting with owners. The easing of the Covid-19 social restrictions allowed us to find and book a suitable venue. Below are some outcomes of the meeting, and attached are the meeting presentation slides with discussion feedback noted in [bold]. Below are some general highlights
  1. Introductions
    Attendees were the SC and SC volunteers, 11 owners from 9 units, and November Gray from Divine Designs.
    The SC introduced their focus on Return Amenity, Support Valuation & Community. 
  2. Master Plan
    Aesthetic Vision for our building was discussed by November Gray of Divine Designs and Vicki will arrange a steering committee of Sandee (u8), Peta (u5), Ann (u16), Maria (u4) and Lourdes (u11 & u18) to discuss an Aesthetic Vision by November
    Protocols for planning and executing significant measures was introduced by the SC as a way for owners to consider various work.
    Fire Safety Considerations was introduced by the SC as a concise document to serve as a guide to keep fire safety considerations readily available when planning various work.
    10-Year Capital Works Plan would be completed with owners direction on fire safety and short-term expenditure priorities.
  3. New Communication Platforms
    The SC reminded the owners of the new supplementary communication platforms:
    - 
    a dedicated SC email:  [email protected]
    - a resource website with suggestion portal: 42vp.info
    - a frequently updated blog:  42vp.blog
    Note the convenience of the blog as a platform for robust communication of sensitive discourse without encumbering official strata records.
  4. Deleterious Conditions
    The SC detailed the failing water seals of various garden beds and terraces of Units 3 & 4; and some resulting concrete degradation.
  5. Proposed Entryway Improvements
    The SC presented a plan for improvements for the Entryway to the building from the street to the main entrance, and incorporating the repairs necessary to address the deleterious condition noted above.
  6. Fire Safety Audit Report
    The SC led a discussion on addressing various reports and quotes for fire safety. It was clear that prior commissioned reports were requested and accepted without a clear understanding of the owner corporation's goal for fire safety. There is a widely held consensus to have a goal of ensuring that the Strata continues to focus on statutory compliance.
     And, there is an expectation that owners refrain from requesting, accepting, creating and distributing documents that may create misguided encumbrance on our Strata.
Consensus 
  • It is generally agreed for the SC to complete the Master Plan
  • It is generally agreed for the SC to complete an Entryway Improvements Specification and to obtain tenders to present to the Owners Corporation as a priority project funded from existing Capital Works funds
  • It was generally agreed for the SC to complete the Fire Safety Considerations component of the Master Plan with a Competent Fire Safety Practitioner. And, the SC should obtain advice directed at ongoing compliance with fire safety statutory requirements with any actions items to be funded from standard capital works funds as they become available.
The general preference is to hold the next AGM after completion of above noted actions.

Thanks for the minutes. November Gray from Divine Designs will be presenting possible Aesthetic Vision for Pacific Harbour on Tuesday 30 June at 10.00am to 12 noon. She will have colour samples and can also answer questions. A group of interested owners have indicated that they are willing to attend. Just to clarify, the group does not constitute a steering committee as such, but rather a conduit to give ideas to the SC for consideration. We would welcome any other interested owners who may be able to attend.
